Ciphr Net enables employees to have easy access to selected HR information, such as how much holiday they have left, what vacancies are available, without having to take up your valuable time. As your HR web site you can deploy all employment related information such as staff handbooks and newsletters and save yourself from repeatedly being asked the same question.

DIY Information updates

Ciphr Net helps to ease some of the administrative burden in HR by enabling employees to perform some update functions for themselves. This includes amending all kinds of straightforward personal details, such as notifying change of address or emergency contact, adding qualifications or requesting leave of absence.

Custom data fields that have been configured on Ciphr People can be made available to employees also; extending the range of information available to view, enter or edit.

Line Management can also access the system to input information, employee development needs for example, or optionally view published reports such as department absence analysis. The process of conducting performance reviews can be carried out quickly, easily and without the need for a continuous flow of paper based information, and salary modelling and proposals can be carried out ready for update into Ciphr People.

These simple changes can have an enormous impact on the time HR personnel have to concentrate on more business-critical tasks.

Training Co-ordination

Training is another core function that can take up a great deal of HR staff time. When teamed up with Ciphr People, Ciphr Net can help monitor training needs amongst staff and record training completed.

On-Line Applications

Publication of vacancies held in Ciphr Recruitment makes for easy employee access and application. Advertising copy and other vacancy related information can be published via Ciphr Net and the applicant information goes directly into Ciphr Recruitment.

Safe and Sound

Of course, careful checking and security procedures are built into the heart of Ciphr Net to ensure privacy and accuracy are never jeopardised. For instance, you can specify particular information categories, such as absence requests, that must be validated by authorised staff before they are accepted by the system and put into action.

Access privileges can be made at the set-up stage, page by page, so that you can individually determine the access level each employee has. For example, some may have view-only access to a particular page, while others are also able to update information.

The system also includes automated e-mail notification for management. Requests that require senior approval can be directed through for verification before they are accepted onto the system and the results automatically fed back via e-mail to the employee.

A particular manager’s authorisation responsibilities can also be automatically forwarded on to a designated colleague to cover times when the usual manager is away or unavailable.
